Black Mountains Guiding - with Siôn James
Event Booking Terms & Conditions:
 
Bookings:  Bookings do not hold firm until the full fee has been received by Black Mountain Guiding with Siôn James (hereinafter referred to as “WE or US”). WE reserve the right to decline bookings without explanation.
 
Activity Participation:   Event participants (hereinafter referred to as “YOU”) must be 14 years of age at the event commencement date, those under 18 years of age must be accompanied by there parent/legal guardian. School bookings can be made in line with school activity rules, parents/legal guardians are asked to sign the booking form granting permission to take part in the event.
 
Booking and confirmation:   To secure your booking please pay a minimum of 50% deposit for the activity you wish to take part in. A contract shall exist between YOU and US when a completed booking form and initial payment is received and confirmation is dispatched. If YOU are booking onto an activity two weeks or less before the start date of that , the full balance is payable on booking. Details of what is included in the price of the activity are shown within the Company website.

Payment of balance:   We will invoice YOU for the final balance of the activity which YOU must pay two weeks before the start date. If YOU are booking an activity two weeks or less before the start date, the full balance is payable on booking. WE reserve the right to cancel your reservation should you fail to pay the outstanding balance by the agreed date.

Cancellation by YOU:   Cancellation notice is required in writing and the following charges will be applied:
Cancellation 2 weeks or more before the start date – forfeit deposit
Cancellation between 1 and 2 weeks before start date – forfeit deposit and 50% of remaining balance
Cancellation less than 1 weeks before the start date – forfeit 100% of the activity cost.

Alterations & Cancellations by US:   Whilst every attempt will be made to ensure that the courses actually run, WE reserve the right to vary or cancel any event should this become necessary, i.e. due to dangerous or unsuitable conditions. In the most unlikely event of cancellation by US an alternative course date will be offered. Activities listed in the Diary of Events will be cancelled if less than 5 entries are received, YOU will be informed by email and offered an alternative if this is to happen.
 
Insurance:  Black Mountain Guiding with Siôn James has Combined Liability Insurance with a reputable outdoor activities insurer. A copy of the insurance certificate can be provided upon request. Any claims arising as a result of the actions of US or its staff should be addressed to us in writing giving full details of the basis of your claim. Event fees do not include any personal accident, cancellation, third party liability or personal injury insurance. WE recommend that you take out your own policy.
 
Fitness:  A general standard of fitness is required. If you have a medical condition, you are strongly advised to seek your doctor’s advice. Information given to us will be strictly confidential. WE cannot be held responsible for any illness or injury caused as a result of an ongoing medical condition and/or poor standard of health & fitness. 

Agreement:  WE operate a Risk Assessment Procedure as set out by the Health & Safety Executive guidelines. The information provided by you in the Booking Form is an integral part of this process and WE cannot be held responsible for any illness or injury brought about or exacerbated by non-disclosure or embellishment of an existing medical condition, disability, allergy, illness or injury.
 
Punctuality:  YOU must make adequate travel arrangements to arrive in time for the start of the event, as stated at time of booking. If you are late for whatever reason you will miss the event and you will not be entitled to a refund or alternative event date.
 
Safety:  YOU must comply with the safety regulations and instructions of the staff. Should an event leader find that you are jeopardising the safety of others, then YOU will leave the event and will not be entitled to a refund.
 
Equipment:  You will be expected to ensure that you are properly equipped for the grade and length of walk/ride, this should include: Waterproof jacket and trousers, walking boots or cycle shoes, warm clothes, spare warm layer, gloves, hat ( or a helmet must be worn whilst cycling) and a daysack are essential.  Food and drink will also be necessary on longer activities. If you do not adhere to the kit list and the event leader considers that you are ill equipped, YOU will not be admitted on to the event and will not be entitled to a refund. YOU are responsible for equipment issued to you during the event, and will be liable for loss or breakage. All equipment must be handed back in the same condition it was given to YOU.
 
Personal Belongings: YOU are responsible for your personal belongings and equipment. WE cannot be held responsible for any loss or damage to your personal belongings caused as a result of your own negligence or theft by another party.
 
Complaints: If there is a problem during your event you must report it to your event leader. If it is still unresolved you must then report it to US so that prompt and effective efforts can be made to resolve the problem. In the unlikely event that the problem cannot be resolved at this time and YOU wish to raise a complaint, full written details must be sent to us within 28 days of the event conclusion date.
